Her Health Room Limited ("Her Health Room", "we", "us", or "our") respects your privacy. Her Health Room Limited is the data controller for the personal information described in this policy. This policy explains what we collect through herhealthroom.com, the Postpartum Recovery Check-In, workshop waitlists and email sign-up forms; why we use it; who we share it with; and the choices and rights available to you.

1. Information We Collect

Contact information: your first name and email address when you request a Recovery Check-In result, join a workshop waitlist or contact us.

Recovery Check-In information: your postpartum stage, your answers to the Check-In and the primary and secondary recovery-focus categories generated from those answers. This information may relate to your physical or emotional health and may therefore be treated as special-category health data under UK data-protection law.

Workshop and communication preferences: your interest in Making Room Workshops, whether you have opted into relevant Her Health Room emails, and records of consent, unsubscribes and email engagement maintained by our email provider.

Technical information: our hosting and technical providers may process information such as your IP address, browser type, device type, requested pages, timestamps and security logs when you use the website.

2. How the Recovery Check-In Works

Your individual question-by-question answers are scored in your browser to calculate your result. We do not send those raw answers to Kit. When you choose to receive your result by email, we send Kit your first name, email address, postpartum stage, primary recovery focus, secondary recovery focus and marketing preference.

Your generated result is also saved temporarily in your browser's local storage so that the results page can display it. It is not a medical record, diagnosis or substitute for individual healthcare. You can remove the locally stored result by clearing your browser data or selecting the option to retake the Check-In.

3. How and Why We Use Your Information

We use your information to calculate and deliver the result or resource you request, administer workshop waitlists, respond to enquiries, maintain the security and operation of the website, comply with legal obligations and—where you have separately opted in—send relevant educational content, newsletters, event announcements and offers from Her Health Room.

We do not sell or rent your personal information. We do not use your Recovery Check-In result to make decisions that produce legal or similarly significant effects about you.

4. Our Lawful Bases

We rely on your consent to send optional marketing emails. Where Recovery Check-In information reveals or may reveal information about your health, we rely on your explicit consent to process the limited health-related information needed to calculate and deliver your requested result. You may withdraw either consent at any time, although this does not affect processing that took place before withdrawal.

We may rely on our legitimate interests to operate, secure and improve the website and to manage our business, provided those interests are not overridden by your rights. We may also process information where necessary to comply with a legal obligation or establish, exercise or defend legal claims.

5. Who We Share Information With

We use Kit (formerly ConvertKit) to receive form submissions, manage subscribers and send emails. We use IONOS to host the website. The website also loads fonts supplied by Google, which may receive technical information such as your IP address when your browser requests those font files.

These providers process information on our behalf or provide services directly to us under their own terms and privacy arrangements. We may also disclose information where required by law, to protect our legal rights or in connection with a reorganisation or sale of the business. We do not share identifiable Recovery Check-In information with employers, insurers or healthcare providers.

6. International Transfers

Some service providers may process personal information outside the United Kingdom. Where this happens, we take steps intended to ensure an appropriate level of protection, such as using an adequacy regulation or approved contractual safeguards where required.

7. How Long We Keep Information

We keep subscriber and waitlist information while you remain subscribed or while it is reasonably needed for the purpose for which it was collected. If you unsubscribe, we may retain a minimal suppression record so that we can respect your choice. We retain other information only for as long as reasonably necessary for operational, legal, accounting or security purposes.

The Recovery Check-In result held in your browser's local storage remains there until you clear it, retake the Check-In or your browser removes it. Raw question-by-question answers are not retained by the website after the session ends.

8. Cookies and Local Storage

The current website does not intentionally use advertising cookies or behavioural advertising trackers. It uses browser local storage to display your Recovery Check-In result. Our hosting provider and linked third-party services may use essential technologies or receive standard technical information when their services are requested. If we introduce analytics or other non-essential cookies in future, we will update this policy and provide any consent controls required by law.

9. Security

We use reasonable technical and organisational measures intended to protect personal information. However, no internet transmission or storage system can be guaranteed to be completely secure.

10. Your Data-Protection Rights

Depending on the circumstances, you may have the right to request access to your personal information; ask us to correct, delete or restrict it; object to certain processing; receive certain information in a portable format; and withdraw consent. You can unsubscribe from marketing at any time using the link in our emails.
